What is a callbot?

A callbot, sometimes called a voicebot, is a program able to hold a phone conversation by voice, with no human involvement. It listens to the caller, understands the request and replies out loud, just as a receptionist would. Unlike an answering machine, which merely records a message, a callbot converses and can carry out concrete actions, such as booking an appointment or passing on a qualified message. What is an AI voice agent?

An AI voice agent is an artificial intelligence that interacts by voice, in real time. On the phone, it is what lets an automated answering system understand free-form sentences rather than a plain "press 1". It follows the thread of the exchange, handles hesitations, rephrasing and interruptions from the caller, for a conversation that comes close to a human dialogue.

What is an interactive voice response (IVR) system?

An interactive voice response system, or IVR, greets the caller with a message and offers choices, historically on the phone keypad ("press 1 for sales"). It is the oldest form of automated phone answering. Modern IVRs replace keypad menus with speech recognition: the caller states the request out loud instead of navigating a rigid tree of options.

What is a telephone answering service?

A telephone answering service ensures that a company's calls are answered while it is away, during the times it cannot pick up itself: breaks, travel, evenings, weekends. It can be staffed by human operators or run by a voice AI; either way the goal is the same, that no call goes unanswered. It is the continuity of the front desk, whatever the constraints on availability.

What is a remote secretarial service?

A remote secretarial service (in French, télésecrétariat) is an outsourced service in which off-site secretaries answer a company's calls on its behalf. They pick up, take messages, screen out cold callers and can set appointments. It is the historical human form of telephone answering; its cost is usually proportional to the volume of calls handled and the range of hours covered.

After-hours phone cover is the arrangement that keeps you reachable outside working hours: at night, on Sundays, on public holidays. Call qualification means identifying, from the very first contact, who is calling and why: the nature of the request, its level of urgency, the caller's contact details. This is what separates a mere message from information you can act on straight away.

What is automatic appointment booking?

Automatic appointment booking lets a phone answering system offer a time slot and enter it straight into the calendar, during the call, with no manual entry afterwards. The caller gets a date immediately, and the professional finds the appointment already logged in their name. It avoids the back-and-forth of "I'll call you back to agree on a time", which often loses the customer along the way.

What is call forwarding?

Call forwarding is a setting on your phone line that redirects calls to another number. Unconditional forwarding sends every call across automatically; conditional forwarding does so only in certain cases, for instance when you do not pick up after a few rings or when your line is busy. What is a call transfer?

A call transfer is the act of passing an ongoing call to another person or extension. Unlike forwarding, which is set in advance on the line, a transfer is decided during the conversation: the front desk connects the caller to the intended contact, for example when an urgent request needs to reach the professional directly. It is also called putting a caller through.

What is call overflow?

Call overflow means sending calls that cannot be taken to a backup solution: lines already busy, no one available, a spike in activity. This backup catches the call instead of letting it ring out. An AI front desk often serves as overflow: it steps in only when a human could not pick up.

What is a cloned voice?

A cloned voice is a synthetic voice recreated from a sample of a real voice, so that the phone answering speaks with a familiar tone — yours, for instance. What is a dedicated number?

A dedicated number is a phone line assigned to one specific use: here, the number to which you redirect your calls so they are handled by the automated front desk. Your customers keep calling your usual number; behind the scenes, unanswered calls are diverted to this dedicated number. Your public number stays unchanged.

What is a missed call?

A missed call is an incoming call that no one answers. Most of the time the caller leaves no message and rings a competitor instead: a missed call is therefore often a lost customer, with no trace left behind. The answer rate measures the opposite, the share of calls actually taken; improving it is the first goal of an automated phone answering system.

What is GDPR as applied to phone calls?

The GDPR is the European regulation that governs the processing of personal data. Applied to telephony, it covers call recordings, transcripts and the details collected: informing the caller, where the data is hosted, how long it is kept, and its security.
